WHAT IF YOUR PRINTER BREAKS WHILE PRINTING OPERATING STATEMENTS?
No master files are updated during printing of Operating Statements. However, data is stored in two temporary files (REVTOTAL AND REVSTUB) that are used to update the files when you run the update.
Therefore, if your printer should break during this long print process you can go back and re-print them beginning with any owner number. (Statements are printed in owner sequence.) You don't have to print all of them again. Do not print checks or update until all statements and checks have been printed for all owners.
Select Print Operating Statements again. Derek prompts you that you did not update for the last time you printed the statements, from there, select “CLEAR Temporary File Without Updating”, then begin printing again with the desired beginning owner number you did not get statements for the first time you printed. Hit the return key for the ending owner number to print all remaining statements. After printing is complete for the remaining owners, you must “Clear Temporary File” that was created only for those owners. Select Operating Statements again and PREVIEW FOR ALL OWNERS to prepare the temporary files that must be used in the update for Operating Statements.
Previewing is quicker than printing and prepares the temporary files the same as printing. When previewing, be sure to use the same filtering conditions, as when you originally tried to print the statements, or else you will prepare incorrect temporary update data.
WHAT IF YOUR PRINTER BREAKS DURING REVENUE CHECK PRINTING?
Re-print the checks again specifying a beginning owner number (checks are printed in owner number sequence). When printing is complete you do not need to display all the checks again, like you do for Operating Statements.
Be sure to use the same filtering conditions, for re-printing, other than beginning owner number, or else you could prepare an incorrect temporary update file. However, the check numbers are stored in the two temporary files (REVTOTAL AND REVSTUB) that were created when you printed the Operating Statements. These two files and the detail information for minimum check withhold amount (WHDINFO.DBF) will be used to update the files when you run the update for Operating Statements.
No master files are updated during printing of the checks, therefore, if your printer fails during printing you can print them again beginning with any owner. Print checks for all owners before updating. Once the checks are printed, and they are physically out of the printer, the program will ask you whether you want to print checks again. The escape key and enter key have been disabled during check printing in case of printer problems. If you need to select 'Yes' and print checks again, if not select 'No' and the program prompts a message asking if you would like to print the check register. Normally you should always print a Check Register for a list of the checks issued.
